You have a service menu somewhere else: a spreadsheet, an old booking tool or a price list on your website. You need each service to exist in Acuity Scheduling as an appointment type, with the same name, length, price and place. The work is simple. The risk is a small mismatch, such as a 90-minute service saved as 60 or a massage attached to the wrong calendar, that clients find before you do.

This guide produces two things: a completed comparison table showing each old service next to its new Acuity appointment type, and a list of discrepancies you approve before anything is changed.

Before you start

Gather these first:

  • The source menu, exported or open in a tab: name, duration, price, description, category and where the service happens.
  • Your Acuity calendars. Each calendar is a separate set of bookable hours, and businesses with multiple staff or locations can create one per person or site. Know which calendars should offer which services.
  • Your account currency. Acuity sets this under Payments > Currency, and one account cannot use multiple currencies. If you take payments through Square, the Acuity currency must match the Square currency or payments fail.
  • Your payment rule. Under Payments > Payment at Booking, the “Use the same method for all appointment types” toggle is on by default. Turn it off only if some services need a different payment option.

Create each service natively in Acuity

Acuity’s help page (Add or edit services on your scheduling page) describes the setup:

  1. Click New Type of Service.
  2. Fill the required fields: service name, duration and the calendars that offer it.
  3. Add optional fields as needed: description, price, category, image, intake forms and whether the service is private.
  4. Save. To change it later, find the type in the Appointment Types panel, click Edit, then Save.

Watch these details:

  • Duration is entered in minutes, from 1 to 1440. Convert “1.5 hours” to 90 and “half day” to a specific number before you type.
  • A later duration change applies to new and existing appointments of that type, so get it right before clients book.
  • Price can be left blank, which lets clients book without paying. A blank price should be a decision, not an omission.
  • A later price change applies only to appointments booked after the change (Changing appointment type prices).

Locations

If different services happen in different places, first turn on per-type locations: Scheduling Page > Settings, check Set locations for appointment types, then Save Changes. After that, edit each appointment type and choose an existing location or Create new location from the Location dropdown (Using appointment locations).

The location appears on the client’s confirmation page, in calendar invitations and anywhere the %location% email tag is used. If both the calendar and the appointment type could supply a location, Acuity uses the highest-ranked one on its precedence list, so check what clients actually see. A video conference integration sets the meeting link as the location. For home visits, an intake form can collect the client’s address.

Each row answers one question: would a client booking this Acuity type get the same service they would have booked from the old menu? Mark every difference, even ones you plan to accept, such as a deliberate rename.

Verification checklist

Check each appointment type against the source before you publish or share links:

  • Name matches, or the change is intentional and recorded.
  • Duration converted to minutes correctly (hours × 60).
  • Price matches, and any blank price is deliberate.
  • Currency in Payments matches your source prices and, if used, your Square account.
  • Calendars offering the type are the right staff or sites.
  • Location shown to the client is correct, given calendar-versus-type precedence.
  • Payment option matches the service if you set payment per type.
  • Booking links open the right service. Acuity direct links can preselect an appointment type, category, calendar or location (Sharing direct links). Open each link you plan to put on your website or in emails and confirm what loads.
  • Approval: someone who knows the menu signs off on the discrepancy list before edits are applied.

Using Dassi to prepare the comparison

Review the output against the checklist yourself. The agent reads what is on the page; you decide which differences are intentional and approve changes before anything is edited. If you run the same check again after later menu updates, you can save it as a workflow and review its run history. Covering an already-operating business across several sites is a separate audit job.
